Who we are

Cadence (“Cadence,” “we,” “us”) is a fitness coaching app that lets trainees log daily check-ins and lets their coach review them and reply. This policy applies to the Cadence mobile app and this website.

Information we collect

Information you provide

• Account details — your email address, used to sign you in with a one-time code.
• Profile details — your name, and (for trainees) optional weight, height, and notes, plus a profile photo if you add one.
• Check-in data — the entries you log: weight, calories, protein, carbs, fat, notes, and any photos you attach.
• Messages — comments exchanged between a trainee and their coach on a check-in.
• Connection codes — the one-time codes used to link a trainee to a coach.

Information collected automatically

• Usage & device data — via PostHog analytics, we collect app usage events, app version, device type, operating system, general region, and a randomly generated analytics identifier. This helps us understand how the app is used and fix problems.

We do not collect your precise location, contacts, or advertising identifiers, and Cadence contains no third-party ads.

How we use your information

• To provide the app — authenticate you, store your check-ins, and connect trainees with coaches.
• To send you the one-time codes needed to sign in.
• To send reminder notifications about checking in, which you can turn off.
• To understand usage and improve reliability and features.
• To keep the service secure and prevent abuse.

How your information is shared

• With your coach or trainees. If you are a trainee connected to a coach, your check-ins, notes, photos, and comments are shared with that coach. Coaches see the data of trainees connected to them.
• Service providers. We use trusted providers to run Cadence: Amazon Web Services (hosting and storage), PostHog (product analytics), and an email delivery provider (sending sign-in codes). They process data only on our behalf.
• Legal reasons. We may disclose information if required by law or to protect the rights and safety of our users.
• We never sell your personal data, and we don't share it for advertising.

Data retention

We keep your information for as long as your account is active. When you delete your account, we delete your personal data within 30 days, except where we must retain limited records to meet legal obligations.

Your choices and rights

• Access & correction — you can view and edit your profile and check-ins in the app, or contact us for a copy of your data.
• Deletion — you can request deletion of your account and data at any time (see below).
• Notifications — you can turn reminder notifications off at any time.

Depending on where you live, you may have additional rights (such as under the GDPR or CCPA) to access, correct, delete, or restrict the use of your data. To exercise any of these, email us at hello@thecadence.fit.

Deleting your account

To delete your Cadence account and associated data, email hello@thecadence.fit from your account email address and we will remove it within 30 days.

Security

We protect your data with encryption in transit, access controls, and reputable infrastructure providers. No system is perfectly secure, but we work to keep your information safe.

Children's privacy

Cadence is not directed to children under 13, and we do not knowingly collect data from them. If you believe a child has provided us information, contact us and we will delete it.

International users

Cadence is operated with infrastructure that may process and store data in regions including the European Union and the United States. By using Cadence, you understand your information may be transferred to and processed in these locations.

Changes to this policy

We may update this policy from time to time. When we do, we'll revise the “Last updated” date above, and for significant changes we'll provide notice in the app.
